Terms & Conditions

1. Exchange Rates & Duties

All quotations are subject to exchange rate fluctuations. Prices may change if SARS amends tariff headings, import duties, VAT, or any customs-related fees.

2. Validity of Quotation

All quotations are valid for 14 (fourteen) days from the date of issue unless otherwise stated.

3. Deposit & Payment Terms

  • A 70% deposit is required to confirm any order.

  • The remaining balance is payable prior to delivery and/or installation.

  • Orders will only be processed once proof of payment for the deposit has been received.

4. Lead Times

  • Lead times vary depending on product type, availability, and manufacturing schedules:

    Imported products: ± 8–10 weeks from receipt of deposit (subject to production, shipping, customs clearance, and unforeseen delays).
    Locally stocked products: 2–3 working days from receipt of payment (subject to stock availability).
    Custom-built / special-order products: Lead times will be confirmed per project.

    All lead times are estimates and may be affected by global shipping, customs processes, or supplier production delays.

6. Client Responsibilities

  • Unless otherwise stated in writing, the client remains responsible for:

    • Structural support, brackets, steelwork, foundations

    • Municipal or landlord approvals

    • Power availability and DB access

    • Stable internet/network connectivity

    • Safe working conditions on-site

    ZKDigimax is not liable for delays caused by incomplete client preparation.

7. Power Requirements & Responsibility

  • 7.1 Power Calculation

    Power consumption depends on pixel pitch, screen size, and total number of cabinets.
    ZKDigimax will calculate amps, watts, breaker size, and estimated consumption only after receiving final specifications.

    7.2 Final Verification (Site Visit Required)

    The following can only be confirmed after a site inspection:

    • Final breaker size

    • Cable thickness

    • Cable routing

    • DB distance and voltage drop

    • Power stability

    7.3 Certified Electrical Work

    ZKDigimax only takes responsibility for power installation if our certified electricians perform the work.

    If the client uses their own electrician:

    • The client accepts full responsibility

    • ZKDigimax will not be held liable for power faults

    • Warranty related to power issues becomes void

    7.4 Power-Related Warranty Exclusion

    Warranty excludes damage caused by:

    • Incorrect cabling or undersized breakers

    • Power surges

    • Unstable voltage

    • Load shedding without protection

    • Incorrect electrical installation by third parties

8. Structural Requirements

  • 8.1 ZKDigimax Certified Structural Installation

    ZKDigimax has a certified structural installation team capable of supplying:

    • Steel structures

    • Mounting frames

    • Brackets

    • Foundations (if required)

    Using our team ensures the structure meets all safety, engineering, and load-bearing standards.

    8.2 If the Client Uses Their Own Structural Installer

    If the client chooses their own structure supplier due to cost or preference:

    • The client assumes full responsibility for structural integrity and safety.

    • ZKDigimax accepts no liability for damages or failures caused by non-compliant structures.

    • LED display warranty may be void if structure does not meet required standards.

    8.3 Engineering Sign-Off & H&S Files

    • Engineering Sign-Off: R9,500.00 (excl. VAT) — per structure

    • Health & Safety File: R9,500.00 (excl. VAT) — per site (on request)

    These can be added to the quotation when required.

9. Municipal & Landlord Approvals

  • ZKDigimax does not obtain:

    • Municipal signage approval

    • Outdoor advertising permits

    • Building/structural permits

    • Landlord/property owner consent

    These approvals are the responsibility of the client.

    ZKDigimax is not liable for delays, fines, penalties, removal of displays, or project interruptions caused by incomplete approvals.

10. Network & CMS Connectivity Requirements

  • An active internet connection is required for:

    • CMS content updates

    • Remote monitoring

    • Remote support

    • Display scheduling and management

    Preferred Connection Method

    • LAN cable (recommended) directly from the client’s router to the media player

    • Wi-Fi (client must ensure a strong and stable signal at the installation point)

    If no network is available on-site

    ZKDigimax can supply a Industrial SIM Router designed for LED displays and digital signage environments.

    Client Responsibilities:

    • Provide their own SIM card

    • Manage the data package

    • Cover all monthly data costs

    • Ensure sufficient data for CMS usage

    Important:
    Without a stable and active network connection, the CMS cannot update content, and ZKDigimax cannot be held responsible for offline screens, delayed content, or inability to perform remote support.

11. Environmental Conditions (Outdoor Displays)

  • Outdoor LED displays must operate within manufacturer environmental limits.
    Warranty excludes damage caused by:
    • Lightning, floods, storms, hail, extreme winds
    • Fire caused by natural elements
    • Water ingress caused by incorrect sealing
    • Any Act of God

12. Maintenance Requirements

  • LED displays require regular maintenance:

    • Cleaning of LED modules

    • Cabinet inspection

    • Ventilation and fan checks

    • Power and cable checks

    • Structural integrity checks

    Failure to maintain may result in performance issues not covered under warranty.

13. Warranty Conditions

  • Standard product warranty: 2 years from installation.Warranty remains valid only if installed by:

    • ZKDigimax-certified installers, or

    • Approved installation partners

    Warranty exclusions include:

    • Incorrect/unauthorised installation

    • Water damage due to improper sealing

    • Structural failure not supplied by ZKDigimax

    • Network failures or poor connectivity

    • Power surges or unstable voltage

    • Acts of God

    • Misuse, negligence, or tampering

    • Damage caused by third-party electricians or structural teams

    Any unauthorised modifications automatically void the warranty.

14. Software, CMS & Connectivity

  • A stable network connection is mandatory for CMS functionality.
    Network faults, firewall restrictions, and local IT configuration issues are not the responsibility of ZKDigimax.

15. Support, Call-Outs & Training

  • Initial CMS Training

    • First training session is free for clients buying directly from ZKDigimax.

    Additional / Repeated Training

    • Remote training: R250.00 per hour

    • On-site training: R850.00 per hour + AA-rate travel

    Call-Out Fees Apply For Issues Caused By:

    • Incorrect installation by third parties

    • Poor network connectivity

    • Misuse or user error

    • Equipment not supplied by ZKDigimax

    • Environmental conditions outside our control

    Reseller & Distributor Training Requirement

    Resellers/distributors must book mandatory CMS training before selling or deploying ZKDigimax products with CMS.

16. Exclusions

  • Unless stated otherwise, pricing excludes:

    • VAT

    • Transport

    • Insurance

    • Installation

    • Crane/lift hire

    • Travel costs

    • Accommodation

    • Engineering sign-off

    • H&S files

    • SIM cards and mobile data

17. Ownership

  • Goods remain the property of ZKDigimax until paid in full.

18. Errors & Omissions (E&OE)

  • ZKDigimax reserves the right to amend quotations.
    All information is provided in good faith.
    Errors and omissions excepted.

By proceeding with a quotation, order, or installation, the client acknowledges that they have read, understood, and agreed to the above Terms & Conditions. For any clarification, our team is available to assist.
